INTRODUCTION TO INVOICING

Invoices can be stored in books of 999 or 3000 Invoices. Each book has a prefix which can be any letter from A through to Z or numbers from 1 to 9. The number Books are only used for repetitive Invoicing. Do not use numbers for normal prefixes. Each Invoice book can be used independently from each other. You can call up all not paid invoices in A and D and ignore invoices in B and C if required.

Invoices can be raised for unlimited cash customers and 9000 accounts. A cash customers information is not stored except at the top of an invoice. An account customers information is stored in the account customer’s list.

The Bizz Wizz main menu has 10 main buttons. These buttons have particular functions. A brief description of these buttons are as follows:

Button No. 1 New Invoice - is for writing a new Invoice and also adding new Customers.

Button No. 2 Load Old Invoice - is to load an existing Invoice and allow it to be edited.

By clicking this button a window will appear showing the last Invoice for the prefix book that is loaded. It will ask you for the Invoice number to load.
Enter the Invoice number and make sure that it is set to the Current book or put a prefix in front of the number to load from another book eg A, B, C.  Bizz Wizz will then display the Invoice top window for this invoice.
By clicking on the button marked Bottom, the Invoice bottom will be displayed.


NOTE : Double clicking the main BW Invoicing picture will load the last Invoice written.

Button No. 3 List Invoices - this will list all Invoices by a certain status e.g. all Invoices, cash Invoices, Quotes and Job Cards, that are paid, unpaid or for one account.

Button No. 4 Invoice Totals - this allows you to total the Invoices in the current book and also distinguish between particular months to give you the totals for that month.

Button No. 5 Aged Statements - this will age all of your Invoices to their corresponding accounts. Not printed Invoices will not be included, depending on whether you chose this option in set up.

Button No. 6 Copy Invoice - this button allows you to copy an Invoice into the current book. If you are in Book B and you want to copy an Invoice from Book C or from Book B to Book D, the Invoice will be copied into the next available slot in the current book.

How to copy an Invoice to another Invoice.
This is done by firstly changing the default prefix ( see Load Book below ) to the prefix book you wish to copy the Invoice into. Once you have done this by clicking on the Copy Invoice button, you will be asked for the prefix book in which the to be copied will come from, then the Invoice number, then click OK.
The Invoice will be copied to the current book into the next free Invoice number. The program will display the Invoice top of the new Invoice. Invoices copied will be copied as quotes. This will allow you to change the quote to an Invoice and in doing so allows you to reduce the stock from within the Price Book.

Button No. 7 Services Due - this button will list all services due to be done which are aged from the last logged Invoice for that customer.

Button No. 8 Load Book - this is for changing the Invoice book. The book selected becomes the default book. Books can have a prefixes of A through to Z. Each book holds 999 invoices.

Load book allows you to change the default prefix book. This is the book of  Invoices you wish to be normally working on. To change the book simply change the prefix and click the OK button.

Button No. 9 Set Up - Set up is used to set-up your print-outs, their messages and other functions within the Invoicing program only.

Button No. 0 Exit - this allows you to exit the Bizz Wizz Invoicing section.

The Computer Number is displayed over the help panel on the bottom-right of the form. To change the Computer Number double-click the panel. The computer number is used when networking to give each computer its own ID and to stop files clashing.

Current Book
Below the Invoice book picture, there is displayed the currently loaded book/s prefix. (This is the Invoice Book Loaded) Clicking the arrows on either side will load the next/previous book. ( The same as Load Book ).

Program buttons.
In the lower left (over the help panel), are the program movement buttons which allow you to move between the programs of Bizz Wizz; Diary, Phone Book, Price Book, Order Book, ABK, Point of Sale, Creditors, Letter Plus, LH Designer, Back Up and Calculator.
